No, we’re not a group of old men in suits gathered in a smoke-filled room. We’re not a bunch of women in pearls and white gloves either. The PAMP Board is a group of people like you who love PAMP and want to further the growth and development of the group. As a member of the Board you will make a direct impact on the PAMP community while working with a talented team of people. Co-President 

Job Information

This is a two person role.

What makes this role fun:

  • Meet new people and expand your community.
  • Help shape PAMP’s future! Be an integral part of prioritizing PAMP’s goals and and strategize on ways to grow PAMP’s presence.
  • Learn about the “ins” and “outs” of running a non-profit.
  • Work closely with the dynamic members of PAMP’s Board and connect with sponsors, members and other stakeholders.

Function

Maintain a broad understanding of PAMP’s programs and operations with focus on board culture and staff activities.  Serve on the PAMP board of directors to provide leadership in the areas of strategic and tactical planning to help ensure that programs and initiatives support PAMP’s mission.  Serve as PAMP ambassador and represent PAMP in the community at large.

Responsibilities

PAMP LEADERSHIP

  • Have fun, build community, expand your skills, and grow your network!
  • Provide general oversight across all areas of the organization to help ensure collaboration and alignment with strategic initiatives and progress towards achieving organizational goals.
  • Support PAMP’s mission in its function, operations, structure, personnel, and culture
  • Assess strategic direction of PAMP and facilitate updates to the strategic plan and/or initiatives, as needed
  • Attend all Large Events
  • Attend all board meetings and other meetings as needed

BOARD MANAGEMENT

  • Oversee the board and executive committee per bylaws and charter
  • Ensure board members are informed and connected to each other and to staff

STAFF MANAGEMENT

  • Oversee staff activities
  • Ensure staff workload is balanced and operations are focused on achieving PAMP’s goals

OTHER

  • Duty of obedience of act in accordance with PAMP’s mission
  • Duty of loyalty to act in the best interest of PAMP
  • Duty of care to take reasonable care when making decisions for PAMP

Qualifications

  • Team player
  • Strong leadership, management, communication, and organization skills with emphasis on problem-solving and decision making
  • Ability to develop and execute strategic and tactical plans
  • Experience working with volunteers
  • Strong interpersonal relationship management, collaboration, culture-building skills
  • Strong public speaking skills
  • Conflict resolution experience a plus
  • Previously held a position on PAMP’s Board or Leadership Team, preferred

Time Commitment

  • ~20-40hr/mo, 1yr term
  • If you are unable to serve a full term, with PAMP support, you will be primarily responsible for finding a replacement for the position and training the new director. If you leave after the end of the term, we would appreciate your assistance in transitioning the work to the new director.

Secretary 

Job Information

Function

Responsible for ensuring that accurate and sufficient documentation exists regarding board meetings to meet legal requirements, and to enable authorized persons to determine when, how, and by whom the board’s decisions were made.  Serve on the PAMP board of directors and PAMP Executive Committee to provide leadership in the areas of strategic and tactical planning to help ensure that programs and initiatives support PAMP’s mission.  Serve as PAMP ambassador and represent PAMP in the community at large.

Responsibilities

  • Ensure the safety and accuracy of all board meeting records
  • Attend and record minutes of all Board meetings
  • Serve on Executive Committee, attend and record minutes of all Executive Committee meetings
  • Prepare and communicate agenda for Board and Executive Committee meetings; facilitate scheduling of meetings in conjunction with Board Co-President
  • Draft, circulate, and post Board and Executive Committee meeting minutes and agenda
  • Liaise with Emeritus Board, as necessary, for upcoming meetings
  • Reserve Board meeting venues, coordinate light refreshments, ensure necessary equipment is available
  • Manage/update Board and Executive Committee materials on the PAMP wiki
  • Manage calendar and meeting notifications for Board and Executive Committee meetings for respective participants
  • Plan Board retreat (two times per year), including themes, agenda, and venue
  • Assist with onboarding and training of new board members
  • Assist with developing and enhancing Board culture in conjunction with Co-presidents
  • Assist with special projects, as needed
  • Assume responsibilities of the Co-Presidents in the absence of both

Treasurer 

Job Information

  • Be an integral part of prioritizing PAMP’s expenditures and strategize on ways to expand revenues and grow PAMP’s presence.
  • Connect other great parents both on PAMP’s Board and in the membership community.

Function

Serve as PAMP’s chief financial officer and supervise the charge and custody of all funds, the deposit of such funds in the manner prescribed by the board of directors, and the keeping and maintaining of adequate and correct accounts of the organization’s properties and business transactions.

  • Prepare reports and accounts as required.
  • Serve on the PAMP board of directors to provide leadership in the areas of strategic and tactical planning to help ensure that programs and initiatives support PAMP’s mission.
  • Serve as PAMP ambassador and represent PAMP in the community at large.

  • With the assistance of PAMP’s accountant: •Manage the preparation of annual tax returns
  • Manage the preparation of the Form 1099s
  • Manage preparation of annual tax-exempt information returns
  • Manage the preparation of annual financial report in partnership with Operations and Board
  • Serve as primary contact for all insurance policies and responsible for updating any insurance applications and ensuring policies are current (e.g. general liability & directors & officers liability)
  • Serve as a member of the board’s Executive Committee
  • Supervise Accounts Payable, Accounts Receivable & P.O. Box mail distribution and provide backup coverage, if needed
  • Reconcile bank accounts monthly to review bookkeeping activity Manage the bank balances and invest additional funds in Certificates of Deposit (CDs) as needed in order to maximize interest income on excess funds.
  • Review bank balances periodically.
  • Prepare monthly financial report and present at board meetings
  • Help refine accounting/finance operating procedures and management processes

Board Director, Engagement 

Job Information

  • Help us find new ways to help our members connect!
  • Be an integral part of prioritizing PAMP’s goals and strategize on ways to grow PAMP’s presence
  • Work closely with dynamic members of PAMP’s Board and other members in our community

Function

Serve on PAMP’s Engagement Comittee to provide tactical leadership and direction related to the Engagement Committee Charter to help ensure that PAMP’s programs and initiatives support its mission and strategic direction. Serve as PAMP ambassador and represent PAMP in the community at large

Responsibilities

  • Have fun, build community, expand your skills, and grow your network!
  • Serve as a member of the Engagement Committee, which is focused on developing and enhancing programs for members/volunteers to:
    • form personal connections, including subgrouops, playgroups and in-a-pinch
    • form virtual connections, including online forums
    • represent PAMP in the community (PA Library speakers series, etc)
  • Provide input to the development and refining of tactical plans that support PAMP’s overall strategic direction
  • Attend organization events and other meetings as needed

Qualifications

  • Team player
  • Strong communication and collaboration skills with emphasis on problem-solving and decision-making
  • Relevant professional and/or personal experience related to the committee-specific charter
  • Passion and desire to give back to the PAMP community

Time Commitment

  • ~5-10 hr/month, 1 yr term

Board Director, Events 

Job Information

Function

Serve on PAMP’s Events Committee to provide tactical leadership and direction related to the Events Committee Charter to help ensure that PAMP’s programs and initiatives support its mission and strategic direction. Serve as PAMP ambassador and represent PAMP in the community at large.

Responsibilities

  • Serve as a member of the Events Committee, which is focused on: •Developing and enhancing Large and Small Events best practices
  • Overseeing scope of Large and Small Events in a manner that member needs are met
  • Determining scope of Volunteer Appreciation Events
  • Provide input to the development and refining of tactical plans that support PAMP’s overall strategic direction
  • Attend organization events and other meetings as needed (optional)

Function

Assist PAMP with developing, implementing and complying with policies designed to address any legal-related issues PAMP faces or may face, as well as supporting PAMP with day-to-day operations that may implicate legal-related issues.  Serve on the PAMP board of directors to provide leadership in the areas of strategic and tactical planning to help ensure that programs and initiatives support PAMP’s mission.  Serve as PAMP ambassador and represent PAMP in the community at large.

Responsibilities

  • Secure member compliance with PAMP rules and terms of membership, including addressing member non-compliance
  • Assist PAMP with observing its bylaws and acting in accordance with its Articles
  • Review and negotiate contracts
  • Identify potential legal-related issues that could arise in PAMP’s general operations
  • Work with outside counsel to address legal issues

Qualifications

Board Director, Marketing & Communications 

Job Information

Function

  • Spearhead communications and marketing efforts
  • Serve as chair of the Outreach Committee.
  • Serve on the PAMP board of directors to provide leadership in developing and reviewing marketing content, determining appropriate marketing channels, and overseeing the effort to improve pampclub.org.
  • Serve as PAMP ambassador and represent PAMP in the community at large.

Responsibilities

  • Develop and ensure cross-program adherence to cohesive PAMP marketing, branding, and communications strategy for external-facing (members, partners/sponsors, and community at large) content in across all mediums (print, web, email, etc)
  • Assess effectiveness of newsletter and website in fulfilling PAMP’s mission and make recommendations to the board based on supporting quantitative and qualitative data
  • Create and expand general awareness of PAMP through participation in community events that align with PAMP’s mission and core membership and distribution of materials
  • Develop agenda and lead Outreach Committee meetings on a monthly basis at minimum; provide progress updates at board meetings
  • Recruit for Outreach Committee members with support from Co-Presidents, as needed

Board Director, Membership

Function

Spearhead membership retention, membership satisfaction and recruitment efforts.  Serve as chair of the Membership Committee.  Serve on the PAMP board of directors to provide leadership in the areas of strategic and tactical planning to help ensure that programs and initiatives support PAMP’s mission.  Serve as PAMP ambassador and represent PAMP in the community at large.

Responsibilities

  • Lead the definition and planning of PAMP’s membership and volunteer recruitment and retention activities; define strategies at the board-level and develop tactics to achieve strategies within the Membership Committee
  • Conduct ongoing research to determine ways to •Attract new and retain existing members
  • Attract new and retain existing member volunteers
  • Improve based on SWOT and competitive environment analyses
  • Evaluate membership demographics, programs and benefits to assess their effectiveness in fulfilling PAMP’s mission and make recommendations to the board based on supporting quantitative and qualitative data
  • Support development and implementation of evaluation tools to collect quantitative and qualitative feedback and program data (through surveys, polls, focus groups, interviews, etc)
